The new dates for the conference are May 7-8th at the Sheraton Sable Oaks in S. Portland, ME.

Everything remains in place -- the Expo will still be an 80’s-themed Retro Rec Room from 3:30-5:00pm on May 7th, and your booth is still reserved. Please contact us if you have a prior commitment on this date. We can discuss other ways to maximize your benefits.

Overnight Accommodations
A block of rooms is available at the Sheraton Sable Oaks for a reduce rate of $149 per night (plus taxes and fees). Attendees can make reservations by clicking HERE or by calling the hotel directly at 207-871-8000 and referencing the LeadingAge Maine and New Hampshire Annual Conference room block.

To celebrate, we've added extra opportunities for fun and engagement with our members.

Make sure to utilize all the benefits available to you!

Before the Conference
Get in touch with attendees! All Business Partners will be emailed a list of conference registrants, including their email addresses, no later than March 27th (one week prior to the conference). You will have permission to use this list to contact attendees for a period of three weeks.

May 7th

  1. Leadership Breakfast - 8:00-9:00AM - Gold & Silver Business Partners each receive admission for one representative. This is an invitation-only event for our members, targeting senior and emerging leaders, to network and learn more about leadership development opportunities through the association.
  2. Join Us for Sessions! Business Partners are welcome to attend any general session or breakout sessions.
  3. Lunchtime Introductions - Be ready at 12:00pm to be called to the stage for speed introductions! Each exhibitor will have 30 seconds to introduce themselves and their company.
  4. Expo & 40th Anniversary Celebration! - Set up between 2:00-3:30pm, then have a blast with attendees during expo hours - 3:30-5:00pm. Deck out your booth in 80's decor and bring a game to play with attendees for our Retro Rec Room theme! (Here are some fun ideas to consider.) Our members are competitive, so make sure you sweeten the pot with some choice prizes!

Additional Expo Info: 

Portland Sheraton at Sable Oaks Hotel – 200 Sable Oaks Dr, South Portland, ME 04106. This is the location for all conference sessions and our Expo.

Limited Booths 
Exhibit space at LeadingAge Maine & New Hampshire’s 2024 Expo & Awards Program is limited to 30 booths. The first opportunity to reserve a booth will be granted to GOLD Partners, then SILVER Partners, then BRONZE Partners. GOLD Partners will have the opportunity to choose their specific booth location

We cannot guarantee but make every attempt to keep competitors separated.

Only one company is permitted in each exhibitor booth. Should exhibitors wish to share booth space, each company will need to be a LeadingAge Maine & New Hampshire Business Partner.

Expected Attendance
We expect approximately 150 provider attendees at this year’s conference.

Each exhibitor will be provided a 30-inch, round high-top table. A branded table runner is recommended for best visibility. 

  • Booths on the perimeter will have room to display a telescoping banner, and most will have access to electricity (please bring your own extension cord and power strip). Footprint is approximately 5 ft w x 4 ft d.
  • Booths in the center of the room will not have electricity nor space for banners, as they would be tripping hazards. Footprint is a circle approximately 5 ft in circumference.
We will do our best to accommodate your needs. All booths are encouraged to have a tabletop or small free-standing game to play!

Staffing Your Booth and Additional Attendees
Business Partners each receive an allocation of “All Access Passes” for admission to all sessions, meals and the Expo (GOLD - 4, SILVER - 2, Bronze - 1). Due to limited seating capacity, we cannot offer any additional “All Access Passes” for purchase. Should you wish to have more representatives on the floor during expo hours, you may purchase extra Expo-only Passes (valid for setup starting at 2:00pm through the conclusion of the expo at 5:00pm). 

When to Set Up
You may set up your booth any time after 2:00pm on May 7th. All set up must be complete by 3:30pm on May 7th. We will share parking and load-in instructions as we get closer to the event.

When to Break Down
Exhibits can start to be broken down at 5:00pm and must be completely removed that evening.

Shipping Materials to the Sheraton Sable Oaks Hotel
If you are sending materials to the hotel, please ship to arrive no earlier than four (4) days prior to the event. All boxes in excess of five (5) will incur a $10 per box handling fee. Items must be labeled as follows:

Exhibitors must provide for the security of their goods, materials, equipment and general display at all times. LeadingAge Maine & New Hampshire will not be responsible for the loss or damage of any material for any cause.

Overnight Accommodations
Book the group rate online or call the hotel at (207) 871-8000 to reserve your room. 

You will be invoiced for your Business Partner selection, which includes your booth and your allotted “All Access” passes. Full payment must be received by the association by February 29, 2024 to be an exhibitor. If we do not receive payment by this time, we will release your booth to any companies on our waiting list.

Cancellation Policy
An exhibitor who submits a written request by February 14, 2024 to cancel exhibit space will be guaranteed a full refund. Cancellation between February 15 - March 19, 2024 will result in a 50% refund. Cancellation on or after March 20, 2024 will result in no refund.
